Store Manager in Training

Delek US Holdings, Inc. is a diversified downstream energy company with assets in petroleum refining, logistics, asphalt, renewable fuels and convenience store retailing.  The convenience store retail business is the largest 7-Eleven licensee in the United States and operates approximately 300 convenience stores which also market motor fuels in central and west Texas and New Mexico.

 

SCOPE OF POSITION:

The Store Sales Manager is responsible for the overall operation of the store. This includes Sales, Administrative Duties, Net Profit, Managing Company Property, Merchandising, Store Budgeting, Personnel Management, Staffing and Scheduling.

SALES RESPONSIBILITIES:

The Store Sales Manager is responsible for maximizing merchandise and gasoline sales in the location and for achieving budgeted sales expense. Responsible for teaching and role modeling to all employees proper customer service and plus selling techniques,

  • Responsible for meeting or exceeding store budgeted sales volume.
  • Communicating sales and profitability goals to store associates and providing timely feedback on results.
  • Assumes an active role in developing weekly goals for Key Performance Indicators.
  • Establish goals for inventory turns in all categories and communicate goals to store team,
  • Ensure that the overall customer's experience including store condition, in-stock efficiency, pricing and customer service meets with established Company standards

 

ADMINISTRATIVE RESPONSIBILITIES:

  • The Store Sales Manager is responsible for completing all administrative duties in a timely fashion with a high degree of accuracy to insure correct store reporting.
    l . Correctly enters each invoice into the computer the day the invoice is received (daily).
  • Responsible for completing all required paperwork and enters information via the computer accurately and on time each day.
  • Make daily bank deposits according to the guidelines and ensure the store has the required change fund to operate.
  • Cigarette category count will be conducted each day. Lottery tickets are counted and physically audited each and every shift. Variations are monitored daily and action taken to stay in compliance.
  • Beer/Wine category count will be conducted as required. Fountain category count will be conducted every other week. Variations are monitored and action taken to stay in compliance.
  • Processes and monitors weekly mark ups/downs, bad merchandise/spoilage and weekly promos for proper credit.
  • Ensures each shift conducts a shift change, investigates daily cash shortages/overages immediately and action is taken to stay in compliance.
  • The Store Sales Manager must have a phone at their residence or have a pager.

 

NET PROFIT RESPONSIBILITIES:

  • The Store Sales Manager is responsible for the overall net profit of the store. This includes Gross Profit results, expense control and store profitability.
    l . Implements company marketing, merchandising, and promotional plans effectively.
  • Maintain selling expenses at or below budgeted levels.
  • Maintain awareness of utility expenses and proactively seeks opportunities to lower utilities expense.
  • Maintain Cash & Gas Shortages/Overages and Merchandise Shrink at or below budgeted levels.
  • Meets or exceeds budgeted sales.
  • The Store Sales Manager should strive to achieve a positive variance in gross profit dollar increase versus operating expense increase per store month.
  • The Store Sales Manager is responsible for providing accurate and timely estimates and analysis of net operating profit.
     

 

MANAGING COMPANY PROPERTY RESPONSIBILITIES:

  • The Store Sales Manager is responsible for ensuring the proper maintenance and repair of all physical plants (stores) and equipment within the store.
    l . The Store Sales Manager is responsible for familiarizing all Store Associates with repair, maintenance and call-in procedures.
  • The Store Sales Manager is responsible for following up with the District Manager in cases of inadequate response/repair to maintenance issues.
  • The Store Sales Manager should periodically inspect property and equipment noting any maintenance needs/repairs needed and notify the appropriate person responsible.
  • The Store Sales Manager is responsible for taking an active role in preventive maintenance and for modeling the appropriate behavior to the other store associates,
  • General condition of their assigned store with regards to cleanliness of facilities both inside and outside. Must maintain an inspection rating of 90 or above each month,
  • Follows the prescribed Robbery Deterrence Program by keeping money low and below the $75.00 allowable limit in the registers, keeping the safe on full lock, staying alert of what is happening in and outside the store and staying active between customers. If robbed, obey the robber's commands, remain passive, do not chase a robber and follow the posted robbery checklist.
     

 

PURCHASING RESPONSIBILITIES:

  • The Store Sales Manager is responsible for his/her store's compliance with corporate retail pricing, maintaining of store layout, proper ordering and inventory level, current displays, signage, promotion materials, and making sure that only authorized products are offered for sale in their assigned store.
    l . The Store Sales Manager will utilize and maintain build-to's on cigarettes, beer, soft drinks, specified grocery items and follows proper vendor check-in policy and procedures.
  • The ordering of groceries and store vendor items to maintain consistent turns and minimizes over or under purchasing.
  • Ensure that his/her store is in stock at all times by requesting "hotshots" or requesting a merchandise transfer from another store
  • The Store Sales Manager is responsible for introducing and implementing merchandising programs.
  • Maintaining awareness of the competition's pricing or strategies.
  • The Store Sales Manager will maintain the in-store merchandising image.
     

 

STORE BUDGET RESPONSIBILTIES:

  • The Store Sales Manager is responsible for communicating budgeted levels of sales, expenses and profitability to all store associates; maintaining awareness of budgeted levels throughout the bonus period and achieving budgeted results for store profitability.
    l . The Store Sales Manager is responsible for reviewing time sheets daily to monitor adherence to the daily and weekly store labor budget. Each day the Store Sales Manager will document adherence to the daily labor by entering total labor hours by employee on the Weekly Working Calendar.
  • The Store Sales Manager will monitor each employee's time sheet each day for compliance to daily labor budget. Reviews and submits signed time sheets at the end of weekly payroll period.
  • Maintain daily and weekly labor budget within required range of the labor budget.
  • Maintain monthly merchandise shrink at or below corporate standard as a percent of merchandise sales.

 

PERSONNEL MANAGEMENT RESPONSIBILITIES:

  • The Store Sales Manager is a Role Model and Mentor for his/her store employees. Responsible for overseeing the staffing, recruiting, training, motivating and maintaining qualified store employees.
  • The Store Sales Manager is responsible for the recruitment, hiring and termination of store employees with the assistance of the District Sales Supervisor.
  • The Store Sales Manager will counsel employees for not adhering to the schedule, working unauthorized overtime, excessive cash overages/shortages and not performing assigned tasks.
  • The Store Sales Manager is responsible for communicating to each shift using tools such as a "Coaching Log".
  • The Store Sales Manager is responsible for the continued training, education and development for all employees in his/her assigned store. All employees will be trained according to corporate policies, procedures, and guidelines.
  • Ensure that all employees follow the policies and procedures of our Robbery Deterrence Program.
  • The Store Sales Manager is responsible for total compliance with corporate policies, procedures and guidelines within their assigned store.
  • The Store Sales Manager is responsible for conducting Performance Appraisals for each and every store associate once per year.
  • The Store Sales Manager will conduct a performance review with each store associate after the associates Performance Appraisal has been reviewed and approved by the District Manager. All appraisals are to be completed and submitted to the District Manager in a timely fashion.
     

 

STAFFING AND SCHEDULING RESPONSIBLITLIES:
The Store Sales Manager is responsible for scheduling employees in his/her store and for ensuring that each employee's time is submitted each week to the payroll department. The Store Sales Manager is responsible for ensuring adequate staffing in the store and for communicating staffing issues to the District Sales Supervisor for resolution.

  • The Store Sales Manager is responsible for the scheduling of all employees in his/her assigned store based on the budgeted dollars and hours allotted for that store.
  • In the event that an employee does not show for his/her scheduled shift, it is the responsibility of the Store Sales Manager to cover the shift or get another person assigned to the store to cover the shift.
  • The Store Sales Manager will train one Assistant Manager capable of fulfilling the Store Sales Manger's responsibilities in his/her absence.
