Associate Program Manager

The Associate Program Manager role will be instrumental in facilitating and supporting the effective management of projects and supporting the Quality Assurance function. To take the lead of projects and provide day-to-day oversight of administrative and operational functions in order to achieve project sustainability and success in accordance with defined target, strategies and goals. Organizational skills and attention to detail are imperative. This role will also function as a QA analyst, meeting with stakeholders, determine requirements, writing test scripts and execution of the testing phase of any project. An ability to work independently with limited direction, communicate effectively with team members in disparate geographic locations, and business stakeholders with critical timelines will be critical to your success.

Job Responsibilities:

  • Support planning and coordination of a program and its activities
  • Ensure implementation of policies and practices
  • Maintain budget and track expenditures/transactions
  • Manage communications through media relations, social media etc.
  • Help build positive relations within the team and external parties
  • Meets with end users to determine requirements, creates test plan to be executed
  • Understands and assists with Unit, Integration, Functional, end to end and acceptance testing
  • Facilities and executes testing scripts
  • Schedule and organize meetings/events and maintain agenda
  • Ensure technology is used correctly for all operations (video conferencing, presentations etc.)
  • Prepare paperwork and order material
  • Keep updated records and create reports or proposals
  • Support growth and program development
  • Adopting and promoting an agile mindset
  • Facilitate program meetings, portfolio status meetings, including project status reporting, KPI dashboards and recording meeting minutes.
  • Provide tactical support to programs, projects, and interdependencies
  • Ability to adapt and respond to changes both inside and outside the projects/program.
  • Run reports and assists with project budget management activities as assigned.
  • Assists program managers or project leads with training documentation and/or internal marketing materials for new products, new tools or new services deployed to the organization.
  • Coordinates initiative activities and events for the project team as assigned.

 

In addition to the above, the role may be responsible to:

 

  • Helping with the documentation of each phase of the project, as well as making summary reports that will be presented to the organization’s management team.
  • Working with team members in the field or on site who have project issues.
  • Keep up the morale of team members and build relationships with them to develop a strong working unit and supporting their impact on the success of a project.
  •  Effectively communicate project risks to all stakeholders across all levels and take appropriate action to mitigate risk
  • Audit utilization of active circuits, cancelling or disconnecting unused circuits
  • Drive cost-savings and continuous improvement initiatives
  • Assist in other administrative duties, including supplier invoice auditing, asset tracking,
  • Work on a team submitting requests for quotes, ordering, budgeting and managing install projects

 

Required Education and Experience:

 

  • Bachelor’s degree from any accredited college or university. Any suitable combination of education and experience will be considered
  • 2 years related experience
  • Ability to utilize multiple software delivery methodologies as required; (i.e., Agile SCRUM and Waterfall (MSF), PRINCE 2)
  • Familiar with testing software (ALM), types of testing, terminology and process
  • Tech Savvy, proficient with MS-Project, MS-Excel, MS-Word, and MS-Power-Point
  • Understanding of SAP, Network, Systems and Database terminology and structure
  • Proven experience as program coordinator or relevant position
  • Knowledge of program management and development procedures
  • Knowledge of budgeting, bookkeeping and reporting
  • Ability to work with diversity and multi-disciplinary teams
  • Excellent time-management 
  • Outstanding verbal and written communication skills
  • Demonstrated ability to work in a fast-paced, ambiguous environment while prioritizing and managing multiple responsibilities
  • Ability to escalate problems for any support needed for problem resolution
  • Ability to coordinate with geographically dispersed support and engineering groups

Preferred Education and Experience:

  • Bachelor’s degree from any accredited college or university.
  • Experience in managing projects and related tasks.
  • Experience managing projects using ServiceNow, Rally or Atlassian suite
  • Knowledge of/experience with Sharepoint and Visio
