Job Summary:
Provides secretarial/administrative support to executive employees or groups in the organization. Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc. Receives, screens and directs incoming calls, visitors, mail and email. Maintains files, records, calendars and diaries. May arrange business travel, coordinate meeting arrangements, and/or track expenses.
Job Responsibilities:
-Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information and initiating telecommunications
-Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, travel and other activities
-Works closely with Company Executives to keep them informed of upcoming commitments and responsibilities and following up appropriately
-Successfully completes critical aspects of all deliverables with a hands-on approach, including drafting letters, maintaining files and records related to all Board activity and follow-up
-Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
Required Qualifications – Education, Skills & Experience:
More than 5 years of related experience. A Bachelor's in a related field often preferred.
Preferred Qualifications – Education, Skills & Experience:
-Bachelor’s degree in a business discipline
-Ten years of experience in administrative role including five (5) years of Executive Administrative experience or similar role in a corporate environment supporting senior-level personnel
-Expert level of proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook, Visio, Publisher, and SharePoint) and Adobe Acrobat
-Understanding of petroleum refining processes
-Knowledgeable in refining products, sales and marketing
-Experienced in accounting principles and/or development of operating budgets
-Experienced with SAP
